Rental deposit is to be paid at the time of rental booking and the full rental to be paid one full month in advance of rental date. The rental deposit will only be refunded after cancellation if the hall is rented for the same cancelled date.
Rental deposit will be returned immediately after the event (usually by mail) unless there are further charges such as damage and clean up fees. The rental contact person will notify you in the event there could be such charges.
It is the responsibility as the rentee to have all permits and licenses necessary for your event available. Each of them must be on display including a licensed server for the bar and liability insurance.
You, as the rentee are also responsible for all damages to the hall, its contents, and surrounding area. Please, no confetti, rice, etc, to be used in or around the hall. Please do not use tape adhesives to decorate. Hooks are provided.
No table sprinkles, no candles, no special effects, fireworks.
Due to fire regulations, the hall capacity is 150 people.
The kitchen is to be used for serving food, and not for cooking.
Please maintain a reasonable level of music, as we are in a residential area.
The hall board reserves the right to cancel any booking date if rental and deposit are not paid as stated above.
The hall is to be vacated and left clean by noon the following day after the rental. The key is to be left on the kitchen counter and after all doors are locked from the inside, please exit by the kitchen doors
ensuring it is shut correctly. If they key was picked up from the community store across the street from the hall, it may also be returned to them.
The key is available from your rental contact person the day before the rental or at a time agreed upon by both parties.

You must get a Special Occasion Liquor License (from any BC Government Liquor Store) if you wish to serve alcohol. The License dictates quantities of alcohol that can be served. Special Occasion Licenses.
Present the six digit License Number to a board member before your event.
Renters planning to serve alcohol must purchase Event Liability Insurance including Liquor Liability Insurance in the amount of $2 million adding Hatzic Prairie Hall as an Additional Insured. A copy of the renter’s Insurance Certificate must be provided to a board member before your event.

Decorations should be free-standing whenever possible.
Nothing should be pinned or taped to the window drapes.
We have a ten foot aluminum ladder for your use.

Please stack the chairs 10 high by colour. After wiping the tables they are to be stacked on top of each other against the black wall.
Please sweep all floors including the kitchen, auditorium, stage and bathrooms. Brooms are kept in the room off the kitchen.
Please wash kitchen floor, clean countertops, fridges, oven, and food server if used. Replace clean dishes in the cupboards. Be sure dish washer is emptied and cleaned out.
Please wash bathroom floors, clean toilets, urinals, sinks, and countertops. Cleaning supplies are found in the cupboard in the ladies washroom.
Wash the auditorium floor using the mops and buckets provided. They are located in the room off the kitchen. Please be sure to squeeze excess water out of mop before washing as too much water damages the hardwood floor.
Please remove all garbage from each area including the bathrooms, kitchens, and from around the outside of the building and parking area. You are responsible for the disposal of the garbage.
Coffee urns must be emptied and cleaned.
Please insure that all lights are out, furnace is turned down and all doors are locked upon leaving the hall.
